YOUR FUTURE ROLE
We are seeking a proactive and detail-oriented Management Support Senior Specialist to provide executive-level support to the Head of Corporate Functions & Analytics (CFA). The selected candidate will contribute their exceptional communication skills, strong organizational abilities, strategic thinking, and expertise in SAP environments. In this role, you will manage essential back-office processes, support portfolio initiatives, facilitate team events, and manage calendar and learning initiatives to create a smooth, outcome-driven environment. You will work closely with executive assistants, senior leaders, and other teams, supporting projects that drive innovation within CFA and related collaborative teams.
Key Responsibilities:
- Comprehensive Executive Support: Seamlessly manage schedules, coordinate travel, organize global meetings, and address administrative tasks to support the Head of CFA effectively.
- Enhanced Stakeholder Interaction: Build and maintain productive partnerships with internal and external stakeholders, representing the Head of CFA in various engagements, and ensuring cohesive alignment with leadership priorities.
- Meeting, Event, and Initiative Coordination: Oversee the planning and execution of team meetings and events, manage logistics for All-Hands, offsites, and hybrid workshops, and contribute to consistency and timely results.
- Documentation and Presentation Preparation: Prepare, update, and refine materials—including PowerPoint presentations, reports, and Excel spreadsheets—to support executive meetings and team alignment.
- Project and Process Management: Design, implement, and monitor administrative processes; track or drive specific internal projects independently; manage workflows, distribution lists, authorizations, and inventories.
- Learning and Change Management: Drive learning and change initiatives to enhance team skills, serve as a central contact for ad-hoc team needs, and support IES Space Management.
- Quick Response and Multitasking: Respond quickly to urgent demands from key stakeholders, maintaining high accuracy under pressure and independently solving problems with a proactive, solution-oriented approach.
YOUR PROFILE
- Experience: Minimum of 3+ years in SAP or a fast-paced environment, ideally with experience in finance operations, HR, or analytics.
- Organizational and Analytical Skills: Proven ability to manage complex schedules, prioritize tasks efficiently, and analyze data to support business operations.
- Stakeholder Management: Demonstrated success in building and sustaining relationships with multi-functional teams, executive stakeholders, and customers.
- Problem-Solving and Adaptability: Proactive problem solver with a “roll up your sleeves” attitude, capable of handling confidential information and adapting to shifting priorities.
- Technical Skills: Proficiency in MS Office (Excel, PowerPoint) and familiarity with communication tools (Microsoft Teams, Outlook).
- Languages: Fluency in English (written and spoken); German is a plus.
- Education: University degree in Business Administration, Communication, or equivalent is a plus
