Digital Supply Chain Center of Excellence Executive Assistant

ROLE DESCRIPTION:

Executive Assistant for the Digital Supply Chain (DSC) Global Center of Excellence will report directly to the SVP and Global Head of the Center of Excellence but will support up to a total of 6 leaders in the organization.  The successful candidate will be extremely detail orientated, able to handle multiple tasks at once, deliver on commitments on time with quality deliverables and support leaders in multiple time-zones in multiple countries. 


EXPECTATIONS AND TASKS:

  • Calendar Management:  Detailed management of up to 6 leader’s calendars. 
  • Travel and Expense Management:  Create detailed travel itineraries and the timely management of all travel expenses in the Concur expense system.
  • Distribution List Curator:  Keep all DLs current and organized globally
  • Meeting Facilitation:  Manage the logistics of meetings globally, including but not limited to, invites, meal service, facility booking, attendee gifts, post-meeting distribution of meeting minutes and content, as well as follow-on item tracking and execution.
  • Content Curation:  Help to curate DSC content globally, across a wide range of content repositories. 
  • Flexible Work Hours:  Support of VPs globally may require odd hours sometimes.  This does not mean extra hours.  You may need to do work very early, or very late depending on the VP you are supporting.  It will be up to you to manage your 40+ hour work week.
  • Travel:  This position will require very minimal travel and allows the candidate to work from home,

 

WORK EXPERIENCE:

10+ years executive assistant experience.

Experience supporting sales and sales enabling roles.

Global team support.

Digital Supply Chain: A high-level understanding of the entire SAP DSC Sales Bag.


 EDUCATION AND QUALIFICATION / SKILLS AND COMPETENCIES:

  • Expert knowledge of Microsoft Outlook and managing other people’s calendars.
  • Expert knowledge of Concur Travel and Expense for booking travel itineraries and entering expenses. 
  • Expert knowledge Microsoft Excel, Powerpoint and Word.
